Privacy Policy

This policy explains what personal data VVAI Academy, operated by the VVAI Academy team, collects, how we use it and the choices you have.

What we collect

• Account data: your name, email address and a hashed password, plus the learning track you chose.
• Learning data: onboarding assessment answers, chapter progress, exercise submissions and scores, XP, streaks and achievements, and certificates.
• AI interactions: messages you send to the AI tutor, what you enter in the labs, and the responses generated.
• Community content: discussion posts, comments and likes.
• Team data: your team's name, its members and their roles, and invite links.
• Billing data: plan, seat count, subscription status and the customer and subscription IDs from our payment provider. We never see or store your card details: payments are processed by Creem, our Merchant of Record, under its own privacy policy.
• Technical data: IP address, browser information and server logs, used for security and troubleshooting.

How we use it

• To provide the Service: show lessons, grade exercises, run the AI tutor and labs, track progress and issue certificates.
• To manage teams and subscriptions, including seats and invitations.
• To answer support requests.
• To keep the Service secure, prevent fraud and abuse, and meet legal obligations.
• To improve course content and features, using aggregated usage information.

We don't sell your personal data and we don't use it for advertising.

AI model providers

Text you submit to the AI tutor, the AI grader and the labs is sent to third-party AI model providers so they can generate a response. We send only what is needed for the request, such as your message or answer and the related exercise or course context. Please don't submit sensitive personal data or confidential information.

Who can see your data

• Your team owner can see who is on the team, including each member's name and email address.
• Other learners can see your name next to discussion posts and comments you publish.
• Anyone with the link can view your certificate pages and your portfolio page (your name, level and XP, learning progress and certificates).
• Service providers that process data for us, such as hosting and database providers, AI model providers and Creem, only as needed to provide their services.
• Authorities, when we are legally required to disclose data.

Cookies

We use only essential cookies: to keep you logged in and protect your session, and to remember your language. Your browser's local storage also keeps a few interface preferences, such as which in-app guides you've already seen. We don't use analytics, advertising or third-party tracking cookies.

Retention

We keep your data while your account exists. If your team's subscription ends, your account and learning history remain so you can come back or ask for an export. When you ask us to delete your account, we delete or anonymize your personal data within 30 days, except for records we must keep for legal, tax or security reasons. Payment records are kept by Creem.

Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal data, and to object to or restrict certain processing. To make a request, email support@vvai.io from your account email; we respond within 30 days. You can also complain to your local data protection authority.

International transfers

Our service providers may process data in countries other than yours. Where required, we rely on appropriate safeguards for these transfers.

Children

The Service is not intended for anyone under 16, and we don't knowingly collect their data.

Changes

We will post any changes to this policy on this page and update the date above. See also our Terms of Service.
